How to Add Teachers to Super User Account

The Manage Teachers page lets you add teachers to your account, monitor seat usage, and manage each teacher's access. Go to Manage Teachers in the left sidebar to get started.

Step 1: Review Your Seat Usage

At the top of the page, a summary shows your current usage:

  • Purchased Seats — Total student licenses in your plan.
  • Active Students — Students currently using a seat. Each student counts once, even if assigned to more than one teacher.
  • Students in Multiple Classrooms — Visible when students are shared across teachers. These students do not consume extra seats.
  • Teachers — Total teachers linked to your account.
If Active Students exceeds Purchased Seats, a warning appears. You will need to upgrade your plan or remove students to resolve it.

Step 2: Add a New Teacher

Click Add new teacher in the top-right corner. The add form opens with two steps.

In Step 1 — Teacher search, enter the teacher's email address and click Next Step.

  • If the email matches an existing Book Taco account, the account is shown. Select it and confirm to link the teacher to your Super User account.
  • If teachers from your school domain are already in the system, they also appear in a list on the left. Click Add teacher next to any name to connect them directly without typing their email.

Step 3: Create an Account or Send an Invite

If the email does not match any existing account, Book Taco shows a Teacher Not Found notice and offers two options:

  • Create Account — Fill in the teacher's first name, last name, email, and password, then click Save. The account is created immediately and linked to your Super User.
  • Send Invite — Book Taco sends an invitation email to the teacher. Choose whether the account should be a Book Taco, Clever, or Classlink account. The teacher accepts the invite and creates their own account. Until then, the invitation appears in the Pending Invitations tab.

Step 4: Manage Linked Teachers

The Linked Teachers tab shows a table with all connected teachers. Each row displays the teacher's name, email, account type, last access date, and student count.

Click the Action dropdown on any row to:

  • Login as teacher — Access the teacher's account directly to troubleshoot or assist.
  • Edit — Update the teacher's name, email, or password.
  • Unlink — Remove the teacher from your Super User account. A confirmation dialog appears before the action is completed.
Unlinking a teacher removes them from your account but does not delete their Book Taco account or their students' data.

Step 5: Check Pending Invitations

The Pending Invitations tab shows all teachers who have been invited but have not yet created their account. Each card shows the teacher's email address and the date the invitation was sent.

  • Click Delete to cancel an invitation.
  • Click Resend to send the invitation again. The Resend button appears after the system has made multiple delivery attempts.
